Who we are
HMN Capital Ltd (“HMN Capital”, “we”, “us”) is a retained executive search and interim management firm. We find and assess senior leaders for private equity, venture and growth capital-backed businesses across the UK and Europe.
HMN Capital Ltd is registered in England and Wales, company number 15406392, at 27 Old Gloucester Street, London WC1N 3AX. We are the controller of the personal data described in this policy, and are registered with the Information Commissioner’s Office under registration number ZB784383.
Questions about this policy or your data: info@hmn-capital.com, or write to us at the address above.
Whose data we hold
- Executives and candidates: people we approach about a role, people who contact us or send us a CV, and people we map as part of research into a market.
- Clients and their contacts: investors, board members and executives at businesses we work with or may work with.
- Referees: people who give a reference for a candidate.
- Website visitors and subscribers: people who use our website, contact form or newsletter.
What we collect
- Name, job title, employer, professional history, education and qualifications.
- Contact details: work and personal email, phone number and LinkedIn profile.
- Information you give us in conversation or in writing: career goals, current and expected pay and benefits, notice period, availability, and preferences about roles and locations.
- Assessment information: interview notes, scores against the criteria agreed with our client and, for candidates who take part in a leadership assessment, reports prepared by our assessment partner.
- References, and the outcome of any checks a client asks for, with your agreement.
- For clients: business contact details and notes of our dealings with you.
- Website data: information you submit through our forms, and cookie and analytics data as described in our Cookie Policy.
We do not ask for special category data (for example health, ethnicity or religion) as part of a search. If you choose to share it, for example to request an adjustment to an interview, we use it only for that purpose.
Where it comes from
From you directly; from professional networking sites such as LinkedIn and other publicly available professional sources; from business information and contact data providers; from referees; and from clients and other people who recommend you to us.
If we collect your data from a source other than you, we will tell you within a month, usually when we first contact you, and point you to this policy.
Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Researching markets and identifying executives who may suit current or future searches | Legitimate interests: running retained executive search |
| Contacting you about a role, and assessing and presenting you to a client | Legitimate interests, and steps you ask us to take before a contract |
| Sharing your details with a client | Your agreement: we will not put your name forward without speaking to you first |
| Taking references and checks | Your agreement, and the client’s and our legitimate interests |
| Managing client relationships and delivering our services | Performance of our contract, and legitimate interests |
| Sending insights and our newsletter | Consent, or legitimate interests for existing business contacts. You can unsubscribe at any time |
| Running and improving our website | Consent for non-essential cookies; legitimate interests otherwise |
| Meeting legal, tax and accounting duties | Legal obligation |
Where we rely on legitimate interests, we have balanced them against your rights, and you can object at any time (see Your rights).
We do not make decisions about you by automated means alone. A person at HMN Capital makes every decision about whether to put a candidate forward.
Who we share it with
- Clients: only with your agreement, and only for the role we have discussed with you.
- Our assessment partner, Talentpraxis Group, for candidates taking part in a leadership assessment.
- Service providers who process data for us, under contracts that require them to protect it: our candidate and client database (Bullhorn); email and document storage (Microsoft 365); contact data and prospecting tools (Apollo, LinkedIn); website hosting and forms (RunCloud, Gravity Forms); website email delivery (SMTP2GO); website analytics (Google Analytics); and our IT and website support providers.
- Professional advisers, regulators and authorities, where the law requires it or to establish or defend legal claims.
We do not sell personal data.
International transfers
Some of our service providers store or access data outside the UK, including in the United States. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU-US Data Privacy Framework.
How long we keep it
- Executives and candidates: for as long as you remain relevant to our work. We review records that have had no contact for three years, and delete or anonymise them unless you ask us to keep them.
- Placed candidates and client records: for six years after the end of the engagement, for contractual, tax and legal reasons.
- Referees: for as long as the related candidate record.
- Newsletter subscribers: until you unsubscribe.
- Website enquiries that do not lead to further contact: two years.
Your rights
You have the right to access your data; have it corrected; have it erased; restrict how we use it; object to our use of it, including for direct marketing; ask us to transfer it to you or someone else; and withdraw consent where we rely on it.
To use any of these rights, email info@hmn-capital.com. We will respond within one month.
Security
We keep personal data in access-controlled systems, limit access to people who need it, and require our service providers to do the same.
Complaints
If you are unhappy with how we have handled your data, please contact us first at info@hmn-capital.com. You can also complain to the Information Commissioner’s Office: ico.org.uk, 0303 123 1113.
Changes
We will update this policy when how we use personal data changes, and change the date at the top.
